Tracking the daily progress of your virtual assistant will ensure she is getting the work done in a timely manner. Most virtual assistants work from a personal home office where they can't simply punch a time clock, so trust and honesty are a must. A virtual assistant can free up your time to do more important tasks, but you need to monitor her time and hold her accountable. Just like a regular manager, you will need to spend time making sure your assistant is doing her job.

Specify Work Hours

Like a normal desk job, specify work hours you expect your assistant to work. Call and check in on her occasionally or schedule meetings several times a week at different times during the day. Create a task sheet and include how long she should spend on each assignment and have her check them off as they have been completed. You will see evidence of her time when she turns the work in to you.

Time-Tracking Software

Use time-tracking software to record each minute spent working during the day. A variety of free programs are available for download on the Internet, including Toggl, Harvest and Klok. These programs monitor what someone is doing on the computer and creates a workflow chart. They are also useful in seeing where the majority of the time is allocated and allowing you to set goals on specific projects. Time-tracking software is also useful for billing, and some programs will sync with online Cloud storage, so you have instant access to your assistant's time schedule.


Online communication can be an effective tool to track your virtual assistant. Use instant messaging or Skype to talk directly to your assistant throughout the day. The status can be set to "away" during lunch and breaks and set to "available" the rest of the workday. Always have a direct line of communication during business hours, and your assistant should be available to chat during those hours.


Change the passwords frequently on the sites your virtual assistant will be working on. If she has to log in to email, your website or social media account every day, she will call you immediately for the new password. If she calls much later than expected, then you know she is not working the hours you have specified.
